How to Update Every Document After Your Gazette Name Change

Step 0 — Download your e-Gazette PDF

Once your Gazette is published, go to egazette.gov.in and download the PDF of the page carrying your name. Save it in multiple places: your phone, email, DigiLocker, and a cloud backup. Print two clear A4 copies (300+ DPI). The e-Gazette PDF is legally the same as the printed Gazette — every institution accepts a clean printout.

The correct cascade order

Update your records in this exact sequence. Skipping steps or reversing the order causes name-mismatch errors that force re-submission.

Step 1 — Aadhaar Seva Kendra

Book a slot at your nearest Aadhaar Seva Kendra or walk in. Carry the printed e-Gazette, your existing Aadhaar, and one old PoI (passport, PAN, voter ID) carrying the name currently in Aadhaar. Fill the update form with the exact new name from the Gazette (case-perfect). The operator scans the Gazette, captures biometrics, issues an URN. Track at myaadhaar.uidai.gov.in. Step 2 — PAN card correction

Go to onlineservices.protean-tinpan.com (Protean/ex-NSDL) or pan.utiitsl.com. Start Form 49A / CSF. Enter the new name exactly as in the Gazette. Upload the e-Gazette as "Copy of Gazette Notification" under Proof of Identity. Choose e-PAN for fastest turnaround. Complete guide: PAN card name change.

Step 3 — Passport re-issue

Register on passportindia.gov.in, apply for "Re-issue of Passport" with reason "Change in Existing Personal Particulars". Book a PSK / POPSK slot. Carry the printed Gazette, current passport, updated Aadhaar and PAN, application receipt, and photos. Old passport is cancelled and returned. Complete guide: Passport name change.

Step 4 — Bank KYC (every account)

Visit each bank branch where you hold an account. Submit: updated PAN copy, updated Aadhaar copy, Gazette copy, KYC re-verification form, and cheque book (for signature match). Some banks allow name change via net banking with e-KYC; most still require branch visit. Update: savings account, credit cards, loan accounts, locker records, and demat account.

Step 5 — Mutual funds & demat

Mutual fund KYC is handled centrally by CAMS or KFin. Submit the KYC modification form with new PAN and Gazette copy at the nearest CAMS/KFin office; once updated, the change reflects across all your mutual fund folios simultaneously. For demat (NSDL / CDSL), submit at your broker's office — each demat account is updated separately.

Step 6 — EPFO & pension

For active employees: submit the joint declaration form with your employer, attaching updated Aadhaar, PAN, and Gazette. EPFO updates the UAN records. For pensioners: submit to your bank pension section + PCDA(P) or civil pension authority. Details in our service records guide.

Step 7 & 8 — Voter ID and Driving Licence

Voter ID: online through voters.eci.gov.in using Form 8. Driving licence: online through parivahan.gov.in or visit RTO. Both accept Aadhaar as PoI once updated, so no need for Gazette at these steps if Aadhaar is already updated.

Step 9 & 10 — Insurance, property, school

Insurance: submit endorsement request with Gazette + updated PAN. Property records: apply at the sub-registrar's office with Gazette + title documents. School / university records: separate application — see our 10th / 12th DMC guide.

Common mistakes to avoid

• Skipping Aadhaar first — every downstream step gets harder if Aadhaar still has the old name.
• Typing name differently across forms — even a single extra space or missing dot causes rejection. Copy-paste from the Gazette.
• Uploading full Gazette issue instead of your page — officers need to see your name; crop to the relevant page.
• Losing the acknowledgement — each step gives you a URN, acknowledgement number, or receipt. Track every one.
• Forgetting DigiLocker — save the Gazette PDF, updated Aadhaar, and updated PAN in DigiLocker so future institutions can pull them digitally.
